As a handmade small business, you probably have to wear all the hats during the early and growth stages of your business. You’re in charge of making, product development, marketing, accounting, logistics, customer service etc etc. Your daily to-do list is probably a scary sight, because it seems to be never ending! You keep plugging away at it, but nothing ever seems to get ticked off. Or else you get distracted by cute dog or cat videos on Facebook and before you know it, you’ve fallen deep, deep down the never-ending cute animals video blackhole. Sound like you?

Don’t worry, today I’m pulling you back from the cute animal videos abyss and inviting you back behind the scenes and revealing my exact system, that’ll help you get super organised (I’m a Virgoan after all!), 10x your productivity and complete the items off your to-do list with laser focus! Sound good? Read on!

 

My secret to 10x your productivity is… batching!

Batching is grouping similar tasks together into ‘batches’ to complete in specific time blocks or specific days. This means that you can apply laser focus on doing this specific task without having to switch gears. Switching tasks wastes a lot of time, as you spend time getting re-organised with a new task, settle in, figure out what you need to do, get in the zone of the new task, actually do the task without getting distracted or pulled away to another task etc.

 

So what are some perks of batching and how is it related to boosting productivity?

  1. You can plan out and knock out your most repetitive tasks, for the coming month in one go!

Does this sound good or does it sound really good? Hate scrambling last minute every day just to post something up on all your social media channels; Facebook, Twitter, Instagram, Snapchat, Periscope blah blah blah, because you’ve been caught up with other things? Say goodbye to crappy photos and lame captions – just for the sake of posting something up and say goodbye to your community not really connecting with your content.

Say hello to planning your content to centre around a theme, coordinating the images to look cohesive as a whole and spending time crafting an exciting caption that motivates and drives your audience to do what you want them to with a strong call to action that fits your brand’s voice!

For example, how does scheduling out all your social media for the coming month, all in one day or less sound? Yes please!

 

  1. Like the sound of being more strategic with your business to drive profit?

Batching your tasks allows you to be super organised (how does spending 1 day a month completing your social media, invoicing, materials sourcing etc) sound? So that with the rest of your time, you can concentrate on the high level stuff that brings in the money like fulfilling orders, pitching for PR, connecting with influencers, connecting with your community, actively building your email list etc.

Once you’ve developed the processes for batching your tasks, the cogs in your business can run almost on auto-pilot with minimal effort.

You’ll actually get time to properly plan ahead, so you can set yourself up for success to achieve your goals. No more just ‘winging it’ and flying by the seat of your pants! Plan and work for success!

So how do I plan out how to batch the tasks in my business?

  1. List out every single task that you do on a daily/weekly/monthly/quarterly basis

Whatever task comes to mind, add it to the list and include the frequency of which you do this task. I did it in a Word document – that way, it’s easy to re-arrange/edit later. I’ve also included a bonus Word document template to help you list out all the tasks in your business. If you prefer pen and paper, you can use that too.

Don’t worry too much about organising them yet. It doesn’t matter how small or large the task may be, list every task down. So some examples of things I do for Geometric Skies, my jewellery and home décor business include:

Task Frequency
Order materials Monthly
Sourcing new materials Ad-hoc
Develop new products Quarterly
Posting on Instagram Daily
Pinning on Pinterest Weekly
Write a new blog post Fortnightly
Email my email list Fortnightly
Respond to Etsy conversations Ad-hoc
Respond to emails Daily
Go to post office Twice Weekly
Photograph new products Ad-hoc
Post new items to Shop Ad-hoc
Update revenue/expenses tracker Weekly
Etc

 

What do I do, if the task has smaller sub-tasks?

If the task has multiple steps, I like to break them down to even smaller steps, so I know exactly what to do, without making it up each time I go or forgetting a step!

Nerd Burger Tip: Another benefit of writing the exact steps that you do to complete a task, means you’ll have a written document handy, that will help with training any future team members like a virtual assistant you may hire! #winning.

For example: Posting on Instagram isn’t a one step task.

  • Decide on a theme for the month e.g. productivity
  • Write a corresponding blog post on productivity
  • Create graphics or source graphics
  • Use later.com (or your favourite Instagram scheduler) to schedule out these daily posts for the upcoming month at the optimum times from your desktop (If you have a business account, there is a bar graph that shows when your audience is most active in your stats section)
  • Depending on what type of post it is (sharing a tip from the blog post, shout out post, repost, post to encourage engagement etc) – write an appropriate and engaging caption including 1 clear call to action.
  • Make sure you have the corresponding Later mobile phone app – so when it’s time, the notification will be pushed to your phone for you to make live on your profile!

 

  1. Group similar tasks together into groups

After looking through your tasks, you might notice some specific patterns across the tasks. Like you can see from my examples, Instagram and Pinterest fall under “Social Media”. Ordering, sourcing new materials and product development can fall under “Product development” etc.

So for me, I use these following categories:

  • Product development
  • Social media
  • Blogging
  • Shop
  • Admin
  • Everyday tasks

  1. Allocate all your tasks under each batch group

It’s time to start allocating all the tasks you listed in step 1. So here’s my example with 5 main batch groups:

  • Product development
    • Reordering materials, sourcing new materials, product development, prototyping etc
  • Social media
    • Use later to schedule Instagram posts, use photoshop to create graphics, etc
  • Blogging
    • Writing the blog, creating graphics, sharing blog graphics on social media, reaching out to influencers, PR etc
  • Shop
    • Add new listings, take new product photos, SEO, write listings etc
  • Admin
    • Accounting tasks, invoicing, pay bills etc
  • Everyday tasks
    • Answer emails, make products, respond to enquiries and emails etc

 

  1. Schedule it into your diary!

You know what they say about scheduling things into your calendar? You’re one step closer and committing to your goal! Hell yes!

Pick the least busiest day in the week and schedule each batch group onto this day. So for example, on the 1st Tuesday of the month (2nd May), I’ve scheduled Etsy/Photography. On this day, I go through and take photos of new items and post them into my shop.

On the 2nd Tuesday (9th May) I complete and batch all my social media posts for the upcoming month for Instagram and Pinterest.How to boost productivity and get more done: Learn how to get super organised, 10x your productivity and complete the items off your to-do list with laser focus! I like adding and email and notification the day before to remind me, what my task is for the next day. When you’re scheduling it into your calendar, make sure you tick ‘repeat’ just under the date up the top. Hit save and you’re ready and set!

If you use a pen and paper Calendar – it’s the exact same process, except you physically write it into your calendar for the upcoming months!
